Job Description:

The Senior Administrative Assistant should enhance the executive's effectiveness by providing information management support and representing the executive to others.  You will oversee a variety of general office and customer service activities critical to the daily success of the senior leadership and facility team. The ideal candidate will be a natural at multi-tasking, organizational development and genuinely have a passion for meeting the needs of the team daily.  The right person will clearly exude a professional, positive attitude capable performing complex business-related task. This position will also support the Maintenance Manager with data entry and report.  Candidate must be flexible with working across different departments.


Essential Job Functions:

  • Support senior leadership team with daily clerical tasks
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
  • Creates staff agenda and presentation materials for executive level consumption
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, and teleconferences
  • Answer phone calls, provide information to callers or connect callers to appropriate people
  • Make travel arrangements and reservations for senior managers
  • Compose and type regular correspondence, invitations and informative material
  • Develop and maintain a filing system
  • Provide statistical analysis and budget reports
  • Create expense reports to include periodic reconciliation to financial statements
  • Greet and provide general support to visitors
  • Administrate support of multiple functions including customer liaison
  • Maintains customer confidence and protects operations by keeping information confidential




  • Bachelor’s Degree or five years equivalent combination of education and work experience in communication, project management, or supply-chain industry
  • Excellent computer skills, proficient in Microsoft Outlook, Word, Excel, and PowerPoint
  • Ability to effectively present information and respond to questions in one—on—one and small group situations to managers and employees of the organization
  • Disciplined self-starter capable of motivating others
  • Common sense approach to business practices
  • Strong work ethic
  • Ability to read, analyze, and interpret company policies, procedures and agreements
  • Ability to write reports and general business correspondence
  • Excellent verbal and written communication skills
  • Strong organizational and time-management skills
